Website Privacy Policy
Effective Date: October 27, 2026
1. Scope
Helios Global Solutions LLC (“Helios,” “we,” “us”) operates heliosgs.co (the “Website”). This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information in connection with the public Website and related business inquiries. It does not replace client-specific privacy terms, a Business Associate Agreement (“BAA”), or policies governing patient information handled in a contracted coding engagement.
2. Information We Collect
Information you choose to provide may include your name, job title, organization, business email, telephone number, inquiry details, and correspondence. Technical information may include IP address, browser and device information, timestamps, requested pages, security events, and similar hosting or form-service logs. The exact technical data collected depends on the deployed hosting, form, email, spam-prevention, and security services. We do not intentionally request patient information through the public Website.
3. How We Use Information
We collect information directly from you and, where enabled, automatically from Website systems and service providers. We use it to respond to inquiries, discuss or propose services, administer business relationships, maintain reasonable records, operate and secure the Website, prevent spam or misuse, comply with legal obligations, and protect legal rights. Any additional marketing use, CRM integration, or outreach automation must be disclosed and implemented in accordance with applicable law.
4. How We Share Information
We share information with service providers that support our Website and business communications, such as website hosting, contact-form processing, business email, and security or spam prevention. These providers may process submitted contact details and technical information to deliver their services. We may also disclose information where required by law, to protect legal rights or safety, or in connection with a lawful business transaction. We do not disclose personal information for third-party targeted advertising as part of our current Website offering.
5. Advertising
The Website is intended for business inquiries, not behavioral advertising. We do not currently use personal information submitted through the Website to make automated decisions with legal or similarly significant effects. We do not sell Website inquiry information. If analytics, marketing pixels, lead-scoring, or other tracking services are introduced, we will update this Policy and implement any required notice or choice mechanisms.
6. Cookies
The Website or its hosting, form, and security providers may use cookies or similar technologies needed to deliver the site, process forms, prevent abuse, or maintain security. We do not currently intend to use advertising or cross-site tracking cookies. Browser controls may let you block or delete cookies; some website functions may be affected. If optional analytics or marketing technologies are added, we will update this disclosure and provide legally required controls.
7. Patient Information
The public Website and ordinary inquiry channels are not intended for PHI or patient-identifiable information. Do not submit patient names, records, diagnoses, dates of service, claim details, or clinical documents. Contact heliosgsops@gmail.com if you believe such information was sent, without repeating it. We will assess and handle it under applicable law, security procedures, and any governing agreements. Client-service PHI is handled separately under applicable contracts and BAAs where required; this Website Privacy Policy does not constitute a HIPAA Notice of Privacy Practices or a BAA.
8. Retention
We retain inquiry details and related correspondence for as long as reasonably necessary to respond, evaluate potential business relationships, maintain appropriate business records, resolve disputes, and meet legal obligations. Retention may differ for email correspondence, form-service records, security logs, and backups. When information is no longer reasonably needed, we take steps to delete or de-identify it, subject to legal requirements and technical limitations. We do not promise a fixed deletion period that has not been implemented.
9. Information Security
We use reasonable safeguards appropriate to the nature of Website inquiry information, including limiting access to people with a business need and using secure transmission where supported by our services. No internet transmission or storage system can be guaranteed completely secure. Please do not submit PHI, passwords, confidential records, or other sensitive information through public inquiry channels.
10. Privacy Requests
You may email heliosgsops@gmail.com with the subject “Privacy Request” to ask about, access, correct, or delete information associated with your inquiry, or to request that we stop nonessential business outreach. We will review requests, take reasonable steps to verify identity, and respond in accordance with laws applicable to the particular request, including any permitted exceptions. Where the Texas Data Privacy and Security Act or another privacy law applies, we will provide the rights, response timelines, appeal process, and other disclosures that law requires. Not every statutory right applies to every business or request. We will not unlawfully discriminate against anyone for exercising applicable privacy rights.
11. Children
The Website is intended for business users and is not directed to children under 13. We do not knowingly solicit personal information from children. If you believe a child has submitted information, contact us so we can assess and take appropriate action under applicable law.
12. International Visitors
The Website may be accessible outside the United States. If we collect information from individuals in jurisdictions with additional privacy requirements, those rules may apply depending on the nature of our activities. This Policy does not assert that Helios has implemented an international-transfer mechanism or a jurisdiction-specific compliance program unless separately verified.
13. External Links
The Website may contain links to third-party websites. Their privacy practices are governed by their own notices. We encourage visitors to review them.
14. Changes
We may update this Policy as our Website, service providers, and practices change. The current version and effective date will be posted on the Website, with additional notice where required by law.
